How to Cancel an Event

This article shows how to cancel an event, including giving refunds to anyone who has already signed up for the event. This process needs to be completed by the organiser of the event or an administrator.

Instructions

  1. Sign in to your myClubhouse site. 

  2. Navigate the Events Calendar page:

    1. this is usually under the Events menu.

    2. or type “/Events/Calendar” into your browser’s address bar e.g.

    3. or use the Search tool in the toolbar to search for Events Calendar.

  3. Find your event and click its name to open it up.

  4. Click the Cancel Button in the top right corner.

  5. You will get a window pop up where you can select different options:

    1. Series: When your event is part of a series, you have the option to delete the single event, the single event and everything after it in the series, or the whole series (including instances in the past).

    2. Refund: You can choose if the attendees can have a refund or not.

      1. This will only issue a refund due payment (not actually make the payment), the refunds will still need to be processed under Admin > Finance > Pending Refunds. For more help on Refunds see Refunds .

      2. If these were processed manually (such as cash or cheque) these will have to be manually refunded.

    3. Add ons: If “Full Refund” is selected, you can also choose whether to refund any add-ons or not.

    4. Reason: This will be visible to others as to why the event has been cancelled.

    5. Notification: Choose whether to notify the attendees by email that the event has been cancelled, this will include the reason written above.

  6. Press “OK” on the window and you will be asked to confirm that you want to cancel the event. Press “Yes”.

     

  7. Your event has now been cancelled.

    1. The event is displayed as cancelled with the reason, and no one can sign up to the event.

    2. If you need to un-cancel the event for any reason, press this button on the top right.

      1. Here you can put the reason the event is un-cancelled and send an email to attendees.

  8. Repeat for any other events that need cancelling.
