Vehicles

The Vehicles module was added in the Fortescue release as a way to allow members to register the details of their cars, motorbikes, bicycles, canoes, boats and other machinery. These form part of a member's "virtual garage". When signing up to events, members can select from the vehicles they are eligible to drive/ride/etc.

Vehicle types

  1. Navigate to Vehicles > Browse Vehicle Types.

  2. Click the green “Add Vehicle Type” button.

  3. Complete the Wizard:

    1. Name: The name of the Vehicle Type.

    2. Icon: An icon to represent the Vehicle Type.

    3. Colour: The colour of the above icon.

    4. Form: If you want to gather more information about Vehicles of this type, add a form here to collect it.

    5. Obsolete: Set to “No”. Edit this to “Yes” when this Type is no longer relevant.

    6. OK: Once happy with the details, click “OK” to save the Vehicle Type so it is ready to use.

  4. Repeat all steps to create other Vehicle Types. Please make use of the green “Create Copy” button to create a Vehicle Type with similar settings.

Vehicle Models

  1. Navigate to Vehicles > Browse Vehicle Models.

  2. Click the green “Add Model” button.

  3. Complete the Wizard:

    1. Vehicle Type: Select the Vehicle Type from the drop down.

    2. Manufacturer: The company that makes this model. Either type in the box, or select an existing manufacturer from the drop down.

    3. Model: The model of the Vehicle. Either type in the box, or select an existing model from the drop down.

    4. Variant: The version of the model. Either type in the box, or select an existing variant from the drop down.

    5. Transmission: The type of transmission the Vehicle has, such as Manual or Automatic. Either type in the box, or select an existing manufacturer from the drop down.

    6. Fuel Type: The type of fuel that the Vehicle takes to run, such as petrol, diesel, or electric. Either type in the box, or select an existing fuel type from the drop down.

    7. Engine Size: The size of the engine in cc’s.

    8. Driving Position: Where you drive the car from, such as left or right hand drive. Either type in the box, or select an existing driving position from the drop down.

    9. No. of Seats: How many seats in the car, including the driver’s seat.

    10. Obsolete: Set to “No”. Edit this to “Yes” when this Model is no longer relevant.

    11. OK: Once happy with the details, click “OK” to save the Vehicle Model so it is ready to use.

  4. Repeat all steps to create other Vehicle Models. Please make use of the green “Create Copy” button to create a Vehicle Model with similar settings.

Vehicles

  1. Navigate to Vehicles > Browse Vehicle Models.

  2. Click the green “Add” button and select the Vehicle Type from the drop down.

  3. Complete the Wizard:

    1. Owner: Enter the name of the user who owns the Vehicle. Start typing their name and select it from the dropdown.

    2. Vehicle Nickname: The name for the Vehicle, if it has one.

    3. Registration: The registration number of the Vehicle. This information is only available to the owner and administrators.

    4. Registration Date: The date the Vehicle was registered. This information is only available to the owner and administrators.

    5. VIN: The Vehicle Identification Number of the Vehicle. This information is only available to the owner and administrators.

    6. Model: Start typing a Model and select it from the drop down. If it is not there, click the Green plus to create a new Model.

    7. Colour: The colour of the Vehicle.

    8. Driving Position: Where you drive the car from, such as left or right hand drive. Either type in the box, or select an existing driving position from the drop down.

    9. Modifications: Enter any modifications that have been made to the Vehicle.

    10. Private: Select if the Vehicle is private or not. Private Vehicles are only visible to the owner and administrators.

    11. Notes: Any other notes about the Vehicle.

    12. Archived: Set to “No”. Edit this to “Yes” when this Vehicle is no longer available and you will need to state a reason too.

    13. OK: Once happy with the details of the Vehicle, click “OK” to save the Vehicle so it is ready to use.

  4. Repeat all steps to add other Vehicles.

Vehicle Profile

Each Vehicle has a profile page in a similar way to a human user. This can be accessed one of two ways:

  1. Navigate to Vehicles > Browse Vehicles and click “View next to the appropriate Vehicle.

  2. Navigate to the user’s profile and click the name of the Vehicle in the “My Garage” section.

On the right hand side, owners and administrators can edit the details of the Vehicle.

Owners can also upload images to their photo gallery of more pictures of their Vehicle. Note: Be aware that these images will count towards your club’s disk space.

Drivers

Sometimes you may have more than one member who can drive one Vehicle, such as a couple driving the same car. For this, you can add extra Drivers to the same Vehicle. The owner of the Vehicle will automatically be counted as being able to drive their own Vehicle.

  1. On the Vehicle’s profile page, click “Edit Drivers”.

  2. Complete the Wizard:

    1. Delete: Remove this Driver from this Vehicle.

    2. Add New Driver/Rider: Start typing the name of the Driver and select their name from the drop down.

    3. Save: Click to save the new list of Drivers for the Vehicle.

Events

When creating an Event, you can choose that members must select a car to drive when they sign up to the Event. Under the Sign-up tab in the Edit Event wizard, you can choose if Vehicle sign up is “Not supported”, “Optional”, or “Required”.

This means that a Vehicle section will get added to the Sign up window and the user will be able to select any Vehicle from their garage which includes all Vehicles that they own or are set to be allowed to drive.
