Combine Individual Subscriptions to a Group Subscription

As there is a distinction between individual and group Subscriptions in myClubhouse, you sometimes want to renew members from a series of individual Subscriptions to a single Group Subscription. An example for this may be if you introduce a new Group Subscription for families. When renewal time comes, you will need to combine each family member’s individual Subscription into a single Group Subscription.

Instructions

In this example, we will create a renewal for each member of a family and combine them into a single Group Subscription.

  1. Navigate to the Lead Family Member’s current Subscription.

    1. The easiest way to do this is to type their name into the site wide search in the menu bar, and then click through to their Subscriptions from their profile page.

    2. Alternatively, you can find the Subscription in Subscriptions > Manage Subscriptions.

  2. Next to the Subscription, click Action > Offer Renewal.

  3. Click the blue “Switch to Group” button.

  4. Click “Yes” to confirm the switch.

  5. Complete the wizard with the correct Categories, costs, and dates.

  6. Click “OK” to save the Subscription.

  7. Navigate to the next Family Member’s current Subscription.

  8. Click Action > Offer Renewal.

  9. Keep as an individual Subscription but make sure that the dates match the Group Subscription.

  10. Navigate to the new Group Subscription.

  11. Click “Assign” next to the appropriate slot.

  12. Complete the wizard:

    1. Existing Registered User: Start typing the name of the member who you just created the renewal for, and select their name from the dropdown.

    2. Assign Existing Subscription: Select “Assign Existing Subscription” and then select the appropriate Subscription from the dropdown.

  13. Click “OK”.

  14. Repeat steps 7-13 for each Family Member.

  15. The Subscription is now created and can be accepted and paid for as normal.

At any point, if you see a “Send Notification Emails” box, make sure it is unchecked so you can do all of this without interference. Once you have sorted the renewal, you can navigate to the Group Subscription and click Email > Renewal Offer to send the renewal email.

As you have completed this renewal manually, it will not appear this year when it comes to Bulk Renewals, however it will appear in future years at renewals time.
