Named Dates

Named Dates can be defined within myClubhouse for when you have a day that falls every year but not always on the same Date, such as Easter Sunday. These Named Dates can be used for the start and/or end dates of Subscriptions.

A common use for Named Dates is to set dates to correspond with school terms. In the example below, we are using dates corresponding to summer school holidays which could be used for a summer holiday membership.

Instructions

  1. Navigate to Admin > Settings > Set Up Named Dates.

  2. Click “Add named date”.

  3. Complete the wizard:

    1. Name: The name of the date.

    2. Obsolete: Check this when the Named Date is no longer needed.

    3. Dates for each year: Set when the date falls for each year.

      1. Add year: Click to add more years to set the date for.

    4. OK: Once happy with the details, click “OK” to save the new Named Date.

  4. You can add Dates for future Years at any time by clicking “Add year”.

  5. Complete the wizard:

    1. Year: Enter the new Year.

    2. Dates: Enter the Dates for all relevant Named Dates.

    3. OK: Once happy with the details, click “OK” to save the new Year for the chosen Named Dates.

Uses

Named dates can be used to set the Start and/or End Dates for Subscriptions.

Start Date

When using a Named Date for the Start Date, the user will be offered to choose between the Named Date falling before the current date and the next Named Date after the current date.

  1. Navigate to Subscriptions > Membership Categories.

  2. Edit an existing Membership Category or create a new one.

  3. Scroll down to the “Start Date” section.

    1. Start Date Mode: Select “Named Start Date” from the drop down.

    2. Start Date: Select the Named Date you want to use.

    3. Offset: Enter the number of days before or after the Named Dates you want the Subscription to start. Enter a negative number for days before, 0 for the Named Day itself, or a positive number for days after.

  4. Click “Save Changes”.

End Date

When using a Named Date for the End Date, the Subscription will end on the next Named Date following the Start Date. If there isn’t a Named Date instance after the Start Date, the Subscription will not be offered.

  1. Navigate to Subscriptions > Membership Categories.

  2. Edit an existing Membership Category or create a new one.

  3. Scroll down to the “End Date” section.

    1. End Date Mode: Select “Named End Date” from the drop down.

    2. End Date: Select the Named Date you want to use.

    3. Offset: Enter the number of days before or after the Named Dates you want the Subscription to end. Enter a negative number for days before, 0 for the Named Day itself, or a positive number for days after.

  4. Click “Save Changes”.
