Membership Cards
Many clubs provide their members with membership cards. These can be used to prove membership of the club, and in some cases get access to perks or discounts with local businesses.
There are two types of Membership Cards in myClubhouse: PDF and digital.
Membership Cards can only be generated/ sent for Current or Future Subscriptions that have been paid for in full, or to date.

PDF Membership Cards
PDF Membership Cards can be made with your own design but with myClubhouse fields to make the card unique to each individual member. Cards can be saved by a member or printed.
Creating the template
You can create multiple Membership Cards to apply to different Membership Categories, or for different lengths of time. This means you can have different designs for different seasons, or different groups of members.
If you are creating multiple, similar templates, it is good to keep the elements that will be populated from myClubhouse in the same place so you don’t have to recalculate the position of the elements for each design.
For the initial setup of PDF Membership Cards, follow this guide: PDF Document Templates
Once you have created your PDF Template:
Navigate to Subscriptions > Print-at-home Membership Cards.
You will see your PDF template here, where you can create it instead if you’d prefer, or edit it in the future.
Click “Add Mapping”.
Complete the wizard:
Card: Select your PDF template from the dropdown.
Membership Categories: Select all the Membership Categories for which this template applies.
From Date: Choose the date from which this mapping will apply. This is the date of the Subscription. This can be used if a design will be implemented in the future. Leave blank if there is no limit.
Until Date: Choose the date that this mapping will apply until. This can be used if a design will be replaced at a set date in the future. Leave blank if there is no limit.
OK: Once happy with the details, click “OK” to save the mapping.
Generating PDF Membership Cards
In Bulk
Navigate to Subscriptions > Browse Subscriptions.
Filter the results to show the members you want to generate Membership Cards for.
Click “Generate Membership Cards PDF”.
The PDF will be downloaded, with all the Membership Cards in a single document.
Print or distribute as necessary.
Individually
As an Admin:
Navigate to a user’s Subscription. This can be via their profile, through Subscriptions > Browse Subscriptions, or Subscriptions > Manage Subscriptions.
Next to the appropriate Subscription, click Action > Download Membership Card.
The PDF will be downloaded.
Print or distribute as necessary.
As a member:
Navigate to your name > My Subscriptions or Subscriptions > My Subscriptions.
Next to the appropriate Subscription, click “Download Membership Card”.
The PDF will be downloaded.
Print or save as necessary.
Digital Membership Cards
Digital Membership Cards are emailed to members and can be added to Apple or Google Wallet on the member’s phone. The design is slightly more limited than PDF Membership Cards, with preset fields, but can be accessed from a member’s mobile phone.
Creating the Design
Navigate to Admin > Settings > General Club Settings.
Click on the “Membership” tab.
Complete the settings under the “Digital Membership Cards” section.
Mode: Select the mode for Digital Membership Cards.
All Categories: All Membership Categories will get a Membership Card.
Selected Categories: Only the Membership Categories that you select from the dropdown will be sent Membership Cards.
Header Text: Enter the text that will appear at the top of the Card.
Pass Colour: Choose the background colour for the Card.
Text Colour: Choose the colour for the fields on the Card on iPhones, Android devices set the colour automatically.
Label Colour: Choose the colour for the labels on the Card on iPhones, Android devices set the colour automatically.
Logo Image: Add your logo to be shown on the top left hand corner of the Card.
Strip Image: This image is shown across the full width of the Card. On iPhones, this will show behind the Membership Category, on Android it will be shown at the bottom.
Barcode: Select a barcode style to appear on the Card. The barcode will be for the user’s ID, unless it is the QR code in which case it will be a URL to their profile page.
Activation Location: On iPhones, when within a certain distance of a location, the Card will appear on the member’s lock screen. This feature isn’t currently available on Android devices. Set the location of your club with a postcode or what3words.
Activation Radius: Set the radius from the above locations that the Cards will appear on the lock screen of members with an iPhone.
Click “Save Changes”.

Generating Digital Membership Cards
Automatically
When a Subscription (or renewal) is accepted and paid for, the “SUB_MEMCARD” Auto-generated Email will be sent to the member so they can download the Card to their mobile. If the member is paying in instalments, they will be sent the email when they pay the first instalment.
Manually
Individually
Digital Membership Cards can also be sent manually on an individual basis:
Navigate to a user’s Subscription. This can be via their profile, through Subscriptions > Browse Subscriptions, or Subscriptions > Manage Subscriptions.
Next to the appropriate Subscription, click Action > Send Membership Card.
The member will receive an email with download links for both Apple and Android to download their Digital Membership Card.
In Bulk
Digital Membership Cards can also be sent manually in bulk to all members with an appropriate, active Subscription:
Navigate to Admin > Settings > General Club Settings.
Click on the “Membership” tab.
Scroll to the bottom of the “Digital Membership Cards” section and click “Send to All”. Note: You must save any changes you make to the card settings before clicking this button.
The members will each receive an email with download links for both Apple and Android to download their Digital Membership Card.
