Event Passes

For some Events, you may want to check someone’s ticket when they arrive. Rather than having to distribute these manually, or showing an email, you can distribute electronic passes instead. These are sent via email and the attendee can add them to their smartphone wallet.

Set up

  1. Navigate to Admin > Settings > General Club Settings.

  2. Click on the Events tab and scroll down to the “Event Ticket Design” section.

  3. Complete the fields:

    1. Mode: Select the mode for the tickets.

      1. No Tickets: This is the default and will mean that no Events will have tickets for attendees.

      2. All Event Types: All Events will issue tickets to the attendees.

      3. Selected Event Types: Only Events with at least one of the chosen Event Types will issue tickets to the attendees. Learn more about Event Types in this guide: Event Types

    2. Card Colour: The background colour of the pass/ticket.

      1. Reference Colour: Select a colour based on the Primary or Secondary colour, as set in Site Styles & Colours.

      2. Select Colour: Select any colour from the colour picker.

      3. Black: Set the colour to black.

      4. White: Set the colour to white.

    3. Text Colour: The text colour on the pass/ticket.

    4. Label Colour: For iPhones, set the text colour for the field names. Android phones will set this automatically.

    5. Logo Image: Select an image for the logo, usually your club’s logo, to appear on the pass/ticket. This usually appears in the top right or left corner, depending on your phone.

    6. Background/Strip Image: Select an image for the background of the pass/ticket.

    7. Display Style: For iPhones, choose how the background image will be displayed. On Android phones, the image will always be in a strip at the bottom of the pass/ticket.

      1. Strip: The image will be displayed in a strip at the top of the pass.

      2. Background: The image will be displayed across the whole of the pass.

    8. Barcode: Select a barcode style to appear on the pass/ticket will have, or no barcode if you wish. The barcode shows a representation of the unique ticket number of the ticket.

    9. Activation Radius: Set the radius from the Event location within which the Passes will appear on the lock screen of members with an iPhone.

  4. Save Changes: Once happy with the details, scroll to the bottom and click “Save changes” to save.

Distributing Tickets

Tickets can be distributed both automatically and manually, both by email. If the attendee is a guest, the ticket will be sent to the member who is bringing the guest.

Automatically

Once a user has signed up to an Event, their sign-up has been confirmed, and they have made payment, they will be sent the “EVT_TICKET“ Auto-generated Email with links to add their ticket to the Apple or Android Wallet.

Manually

  1. Navigate to the Event page, most commonly via the Events Calendar.

  2. Scroll down to the “Attendees” table, and the attendee you want to send their ticket to.

  3. Click the blue “Send Ticket” button next to the attendee.

  4. The member will be sent the “EVT_TICKET“ Auto-generated Email with links to add their ticket to the Apple or Android Wallet.
