Your club or organisation may have to add Sales Tax to some or all of the things that you sell through your myClubhouse site. This may be products in the Shop, Subscriptions, or Event sign-ups. The VAT Rates makes it very easy to keep these figures separate and to make it easier for you to track it in the financial data. You can have different Rates for different products as not all things have the same amount of Sales Tax, and some don’t have to have it at all.
Once set up, VAT (or whatever name you give it) will appear in invoices sent to Members, and will appear as columns when browsing the Financial pages within myClubhouse.
Setting VAT Rates
Navigate to “Admin > Finance > VAT Rates”.
Enable Sales Tax: Set this to “Yes”.
Sales Tax Name: Set the name of the sales tax for where your club is located. In this example we’ll use VAT from the UK.
Tax Registration Number: If you have a Registration Number for your Tax, enter it here, or “N/A” if you don’t.
Tax Rates: Add the different Rates that there can be. This will allow you to set different Rates of Tax for different products within your site.
Add: Click the green “Add” button to add more Rates to the bottom of the list.
Code: A short code to represent the Tax Rate.
Name: The name of the Tax Rate.
Rate(%): The percentage of Tax that is charged on products using this Rate.
Save changes: Once happy with the details, click “Save changes” to save the VAT Rates.
VAT Rates on Purchases
Once you have set the VAT Rates, you need to select which Rate to apply to different purchases. This can include: Subscriptions, Shop products, Bookings, and Event Sign-ups.
You select the VAT Rate when you set the cost of something. This will be in one of two ways:
Set the cost (without VAT) and then select the VAT Rate in the dropdown next to it. The example above is from a Membership Category.
Set the cost (without VAT) and then select the VAT Rate from the field beneath it. The example above is from an Event.
