Membership Subsets

The Entitlements on Membership Subsets add-on module allows you to define Roles within the Subsets and give the role-holders permissions pertaining only to members of those subsets. For example, if you had a Tennis and Squash club, you could have one site but two Subsets, one for each sport. This would allow the two halves of the club to run independently with their own Chairman, Membership Secretary, Coaches, etc. The admins would only have jurisdiction over the members of their own club. Sports is of course just one example of a way a club or organisation may want to divide themselves, but there are endless possibilities. You could split the club by geographic branches, into adults and juniors, or even playing and social members. The divisions should be thought of as areas of responsibility.

Create Subset

  1. Navigate to Admin > Settings > Membership Subsets.

  2. Click “Add Subset”.

  3. Complete the wizard:

    1. Name: Enter the name of the Subset.

    2. Member List: Select the Member List that will define the users who will be included in the Subset.

    3. Obsolete: Leave this unchecked. If the subset is no longer needed, you can edit it and check this field.

    4. OK: Once happy with the details, click “OK” to save the Subset.

  4. Repeat the steps for all Subsets.

Subset Roles

Alongside Roles that will cover all users and jurisdictions, site-wide, you can also create Roles within each subset. This lends itself well to the Entitlements section below.

  1. Navigate to Admin > Settings > Club Roles.

  2. Click on the appropriate Subset tab.

  3. Click the green “Add Role” button.

  4. Complete the wizard:

    1. Role Name: The name of the Role.

    2. Description: A short description of the Role.

    3. Security Level: Select the Security Level for the Role. Security Levels are an option for setting Entitlements for groups of users and Roles, rather than having to put every user into a Role. Remember that these Roles will only have jurisdiction over users in this Subset.

    4. Members: Assign members to this Role. Start typing their name and then select it from the dropdown.

    5. OK: Once happy with the details, click “OK” to save the new Role.

  5. Repeat the steps to create more Roles, making use of the green “Copy” button to create a similar Role where appropriate.

Subset Entitlements

From Entitlements Manager, you can set the Entitlements specifically for those within each Subset. Be mindful that these are in addition to the site-wide Entitlements, but will only apply to the Subset jurisdiction.

  1. Navigate to Admin > Settings > Entitlements Manager.

  2. Click on the appropriate Subset tab.

  3. Work your way through the Entitlements, editing or adjusting as needed. Start typing a name, Role, or security level and select it from the dropdown. For security levels and Roles, the ones for the Subset will be indicated with the Subset name in square brackets.
