Each myClubhouse site has a limited amount of disk space available, 250MB to start with. This is for the space taken up by files you upload to your site, it does not include the site itself nor the database. If you find yourself running low on space, or unable to upload a new image or document because you have run out of space, there are some methods you can use to try and free up some disk space.

How much space am I using?

The best place to see how much disk space you have used and have left is to navigate to Information > Document Downloads. At the top of the page, admins are shown a banner showing the current disk space usage.

What uses Disk Space

Disk space is used by images and documents that are uploaded to your site. This includes:

  • Member profile images

  • Images on CMS pages

  • Images on Event pages

  • Images in the header and footer (set through Site Styles and Colours)

  • Carousel images

  • Documents in Document Downloads

  • Documents as answers to Forms

How to clear Disk Space

Document Downloads

  1. Navigate to Information > Document Downloads.

  2. Search through the documents you have uploaded to see if any are no longer needed.

  3. If you find one that is now obsolete, click the red dustbin next to it.

  4. Click “Yes” to confirm.

  5. Repeat steps 2-4 for any documents that are no longer needed.

Deleting documents can’t be reversed, so make sure that you are certain before deleting documents from Document Downloads.

File Manager

  1. Navigate to Admin > Settings > File Manager.

  2. From here, you can see all the images that have been uploaded to your site and where they are being used. Any images with 0 usages can be deleted to free up some disk space by clicking the “Delete” button next to the image.

  3. If you don’t want to check through the images individually, you can remove all unused images at once by clicking “Delete All Unused Files”.

  4. Whether you are using the method in step 2 or step 3, you will need to repeat it in each section.

Deleting images can’t be reversed, so make sure that you are certain before deleting images from File Manager.

Forms

  1. Navigate to Forms > Form Document Clean-up.

  2. This shows all the documents that have been submitted as an answer to a document question. Orphaned documents (where someone has replaced the document or never completed the Form) can be selected and deleted.

Deleting Form documents can’t be reversed, so make sure that you are certain before deleting documents from Form Document Clean-up.

Purchase More Disk Space

If you have followed all of the above steps and have still not managed to free up enough space, you can always purchase more. Disk space is charged per 1000MB per annum and will be added to your licence. If you are part way through your licence, the price will be pro-rated for the remainder.
